Information for Attendees
We look forward to welcoming you to Seattle for the 36th Annual Symposium on Nonhuman Primate Models for AIDS. The following information may be useful as you plan your trip. Seattle basics: It rains and traffic is often problematic. We will be walking the short distance between the hotel and conference center, so please dress accordingly. Typical early October weather consists of a mix of rain and occasional sunbreaks, with temperatures ranging from the high 50s to low 60s.
Registration will take place from 4:00 – 9:00pm on Tuesday, October 2, 2018, in the Terrace Room at the Edgewater Hotel (adjacent to the Olympic Ballroom, the venue for the Welcome Reception). Beginning Wednesday at 7:00am, the registration desk and symposium activity will move to the Bell Harbor International Conference Center, Bay Auditorium.
Your symposium name badge will be issued at registration and is required for entry to all symposium events.
Welcome Reception will be held in the Edgewater Hotel Olympic Ballroom, with a panoramic view of Elliott Bay, on Tuesday evening from 7:00 – 9:00pm.
Speakers should provide a copy of your presentation via flash drive to the symposium registration desk one full day before your assigned presentation time. Symposium staff will upload your presentation to conference computers for your review at the symposium registration desk during registration hours at the Edgewater on Tuesday and Bell Harbor on Wednesday and Thursday. Presentations will be drive by laptop computers. All abstracts will be uploaded to the NHP AIDS 2018 website on Friday, October 5th, at the close of the symposium. Aisle seats will be reserved for speakers each day to allow easy access to the podium.
Poster Reception will be held Wednesday, October 3rd, from 6:00 – 9:00pm in the Bell Harbor International Promenade. Posters will be on view from the start of the Poster Reception through the end of the Symposium. Early Investigator posters will be eligible for poster awards. Judging information will be available at registration.
Poster presenters will be provided their easel number and map at on-site registration. Staff will be available in the International Promenade to assist with easel location and mounting. Posters must be displayed by 1:00pm Wednesday and removed no later than 12:30pm Friday.
Sponsor tables and displays will be located in the hallway near the Bay Auditorium from 7:00am – 5:00pm Wednesday and Thursday. Friday hours will coincide with the half day format. We encourage you to stop by and discuss your research and needs with these knowledgeable vendors.
Continental breakfast and lunch will be served in Bell Harbor’s International Promenade starting at 7:00am each morning of the symposium. Lunch will be served in the International Promenade at 12:15 on Wednesday and noon on Thursday.
The Banquet will be held Thursday, October 4th, at the Seattle Aquarium, located on Seattle’s vibrant waterfront. Transportation will be provided from the Edgewater Hotel to the banquet site. All attendees and guests must present their banquet tickets and display their name badge prior to boarding the coach. If attendees choose to walk the short distance between the hotel and the Seattle Aquarium, all attendees and guests will need to present their banquet tickets and name badges when entering the Aquarium.
Transportation and parking: We will be walking between the Edgewater Hotel and Bell Harbor International Conference Center, where all sessions and the Poster Reception will be held. Should you need additional transportation for any other purpose, please see the hotel concierge. Overnight parking for all Edgewater Hotel guests is $45.00 per day. Self-parking is available at the Seattle Art Institute/Pier 66 parking garage, with entrances at 2323 Elliott Avenue and 9 Wall Street. Rate is $18.02/day + tax.
Traffic: Seattle is notorious for traffic congestion. The distance from Seattle-Tacoma International Airport to the Edgewater Hotel is approximately 16 miles. Traffic can add significantly to the commute time, depending on time of day. A variety of taxis, airport shuttles, and Ubers are available at the airport. Link light rail also travels between the airport and Westlake Center (which is the closest stop to the Edgewater). The distance is just under one mile.
